Summary/Objective

The Coordinator, Meeting and Exhibits Experiences provides critical administrative support to the IFT FIRST annual event exhibit hall experience, a Tradeshow Executive Gold 100 event attracting more than 20,000 attendees and more than 1,000 exhibiting companies. This position is responsible for the collection and organization of various exhibit data points, reporting, logistics, and onsite shuttle management. Through exceptional customer service, timely communication, and strong organizational skills, the Coordinator, Meeting and Exhibits Experiences will work alongside internal and external stakeholders to ensure an exceptional exhibit hall experience for both attendees and exhibitors at IFT FIRST.

Essential Responsibilities

• Provides administrative support to the Senior Manager, Event and Exhibit Experiences
• Serves as primary point of contact for registration and exhibitor customer service
• Manages and ensures accuracy of expo Priority Point Process
• Assists in the booth selection process for IFT FIRST
• Reviews and provides content for the Exhibitor Newsletter in collaboration with IFT’s expo management company
• Manages shipping for internal and external customers
• Acts as liaison between IFT’s expo and floor plan management companies
• Assists Senior Manager, Meeting and Exhibit Experiences with exhibitor registration questions
• Manages logistics for shuttle service provided during IFT FIRST
• Contributes to content updates on exhibitor websites
• Oversees sponsorship invoicing and ensures timely payments
• Manages credit card reconciliation for Meeting and Exhibits team
• Ensures compliance with industry and legal regulations and best practices, and adherence to company processes and procedures
• Manages assigned budget areas
• Assists with board meetings, Exhibitor Advisor Group, Winter Education Event, and other company wide meetings logistics and set up

Travel Required

• Occasional domestic travel is expected including the ability to attend occasional evening, weekend, and
overnight meetings

Required Education and Experience

• Bachelor's degree in business, marketing, or related area
• 3+ years of experience in hotel, meetings, trade shows, or exhibits management
• 3+ years of demonstrated project management skills
• 3+ years of experience with database systems and management

Preferred Experience

• Experience with digital/virtual events
